A PDF is not automatically an e-invoice.

Since 2025, only an invoice in a structured electronic format that software can process counts as an e-invoice. A normal PDF does not. Businesses must already be able to receive e-invoices, and issuing them is becoming mandatory in stages.

Our e-invoicing guide explains what applies now →

The two most important formats

  • ZUGFeRD

A PDF with the invoice data embedded as XML: people read the PDF, software reads the data. Practical for private-sector clients.

  • XRechnung

A pure XML format under the European standard EN 16931 – required for invoices to public authorities and increasingly requested by businesses.

How you work with e-invoices in Kontelio

  1. Receive or create an e-invoice

Upload incoming e-invoices or write your invoice directly as ZUGFeRD or XRechnung.

  2. Check and assign the invoice

Kontelio reads the invoice data and presents it clearly for you to check.

  3. Connect it to bookkeeping and receipts

The invoice becomes an expense or income, with receipt, tax rate and account.

  4. Archive it traceably

The original and its data are kept unalterably for ten years in line with GoBD.
