DATEV settings

Set the Beraternummer, Mandantennummer, account length and personal accounts for the DATEV export, and manage saved account mappings.

Available in the plans: Business Pro

Under DATEV you enter the details Kontelio uses to create files for your tax adviser's DATEV. Without these settings no DATEV export is possible. The settings apply to the tax subject selected in the app header.

Enter the DATEV settings

  1. Ask your tax adviser for the Beraternummer (adviser number), the Mandantennummer (client number) and the Sachkontenlänge (length of the general ledger account numbers).
  2. Enter the numbers in the fields Beraternummer and Mandantennummer.
  3. Choose the Sachkontenlänge, usually 4.
  4. Under Personenkonten (Debitoren/Kreditoren) and Sub-accounts, choose the option your tax adviser wants.
  5. Click Save.
FieldMeaning
BeraternummerThe number of the tax firm in DATEV. It is in the header of every exported file; DATEV uses it to assign the file to the firm.
MandantennummerYour number as a client of the firm.
SachkontenlängeHow many digits the general ledger accounts have in the firm's DATEV (4 to 8). Your own sub-accounts with more digits only fit if the length is sufficient or they are exported on their main account.
Festschreibung of closed periodsPostings from [[page:accounting-periodsclosed periods]] are marked as finalised (festgeschrieben) in the file. DATEV then no longer allows them to be changed. Open periods are never finalised.

Collective accounts or one account per business partner

Under Personenkonten (Debitoren/Kreditoren) you decide how receivables from customers and liabilities to suppliers appear in DATEV:

  • Collective accounts: all customers on 1410, all suppliers on 1610 (SKR03); the business partner's name is in the posting text. This is the default and the simplest option.
  • One account per customer and supplier: each customer gets their own debtor account from 10000, each supplier a creditor account from 70000 (one digit more than the account length). The number is assigned on the first export and stays the same afterwards. Then also export the debtors/creditors so that DATEV knows the names.

Account mappings

The Account assignments section shows which Kontelio account corresponds to a DATEV account. Kontelio saves these mappings when you import account labels and when you choose Save account assignment in the import preview. Future imports use them automatically.

The table shows Chart of accounts, DATEV account, Kontenbeschriftung, Kontelio account and Created on.

  1. In the row of a wrong mapping, click Delete.
  2. Confirm the question Delete account assignment?.

On the next import you choose the Kontelio account for this DATEV account again. Data already imported does not change.

Good to know

  • All users with access to the tax settings can see the settings; only users allowed to manage tax settings can change them.
  • The Account assignments section is only visible to users allowed to import DATEV files (owners, administrators and accountants).
  • The DATEV interface is part of the Business plan. Kontelio creates files that your tax adviser reads into DATEV; there is no direct transfer to DATEV.
  • Do not change the settings without consulting your tax adviser once they have imported files: changed account numbers will no longer match the earlier postings.
