Export all documents
Download every document stored in Kontelio as a ZIP file with an overview table.
Under Export all documents you download all documents stored in Kontelio as one ZIP file: issued invoices, received invoices, receipts and other files. The export is available at any time and in all plans, including Kontelio Free.
Create an export
- Open Export all documents. At the top you see how many documents the export currently contains.
- Click Create export.
- The export is created in the background; a progress bar shows its state. You can leave the page. When it is ready, you get a notification in the app and an e-mail.
- Under Latest exports, click Download.
The ZIP file can be downloaded for 24 hours. After that, create a new export if you need one.
What the ZIP file contains
- Issued invoices and credit notes as PDF and, where available, as e-invoice (XML).
- Received invoices and e-invoices, as they were uploaded or received by e-mail.
- Receipts, self-issued receipts and other stored files, for example reports and bank statements.
- A table
index.csvwith one row per file: type, number, date, business partner, net, tax and gross amount, currency, status, path in the ZIP file and the SHA-256 checksum.
The files are in folders by type and year, for example Ausgangsrechnungen/2026/ (issued invoices) or Belege/2026/ (receipts), and are named after the invoice number. The table opens directly in a spreadsheet (semicolon as separator, amounts with decimal comma, as is usual in Germany).
Good to know
- Only owners and administrators may start the export. It covers all taxpayers and activities of the workspace.
- Only one export can run at a time, and at most three exports are possible in 24 hours.
- Everyone sees and downloads only their own exports; the owner sees all of them.
- Documents you discarded in the document inbox are not included. Files from Receipts and documents that are not assigned yet are in the folder
Belegewith the statusINBOX. - For a tax audit, the tax office requires a different format: use the GoBD export for that.
